Embed a File from Google Drive
As a working technology teacher, I get hundreds of questions from parents about their home computers, how to do stuff, how to solve problems. Each week, I’ll share one of those with you. They’re always brief and always focused. Enjoy!
Q: So many colleagues are embedding documents to their blogs and websites, but I don’t know how to do that. Can you help?
A: I love this part of Google Apps. When your Google document is complete–that includes Docs, Spreadsheets, Slides, and Drawings:
- Go to ‘Share’ in the upper right corner; select the option you prefer–allowing viewers to just view or edit
- Click File>Publish to the Web (on the menu bar)
- Select the link and copy-paste to your website (I’ve done this below) OR select Embed
- Copy the HTML code that starts with ‘<iframe…’
- Paste into blog, wiki, website like I did below:
Let’s try this out. Here’s a collaborative spreadsheet to share Exit Ticket ideas. Your name is optional. Strongly consider adding the linkback so we can add each other to our PLN–a great way to share ideas and knowledge. Tech Tip #113: Back up Your Blog!

Q: I’m paranoid of losing my documents so I back them up to an external drive, a flash drive, and in the cloud. My blog, though–It’s become an important cog in my teacher PLN. If it blew up, I’d be lost. What do I do about backing it up?
A: If you use Wordpress, it’s easy, they provide a native tool for that. Here’s what you do:
- Go to Tools>Export
- Select the bubble for ‘all’
- It’ll back it up as an XML file (you don’t have to understand what that is. Just know it’s the file that will save you if Wordpress crashes)
- Save that backup file somewhere safe in case you need it. Preferably where your Cloud automatic back-up will grab it (assuming you have one of those. If you use Carbonite, you do)
- Do this once a month–or a week if you’re active
This will back up your posts, pages, comments, categories, and tags. For the entirety of the blog–similar to a time machine, where you can restore the entire website–you’ll need an external service. My Wordpress.org blog is hosted by WPEngine. Part of that service is a back-up of the blog. It’s worth it to me to pay a bit extra for that function.
That’s it. Now you’re safe.

Q: I have a home Gmail account and a school one. How do I open both at once so I can keep track of what my kids/home business/etc is doing while at my teaching job?
A: The quick answer I got from e-friend and tech guru Chris Hoffman is: Open each account in a separate browser (in my case, I use Firefox and Chrome). Click here to get all the details why this works. It has to do with each browser keeping its own cookie.

Tech Tip #111: Quick Internet Fix

Q: The internet website is quirky. Stuff I know should work doesn’t. Is there any quick way to fix that without having to reboot?
A: Here are four steps you can take before rebooting your entire computer:
- Refresh the webpage with the ‘reload current page’ tool. About half the time, that works.
- Next, close the internet down and re-open.
- Unplug the modem (or router–or both), wait ten seconds, and replug
- Try a different browser.

Tech Tip #110: Can’t Get Sound to Work?

Q: Headphones are so difficult. There’s always someone who can’t get theirs to work. I’ve tried the usual solutions, and still, we have problems. I know the sound works. What else can I do?
A: First, try the usual solutions:
- check sound on systray (lower right corner)–make sure it isn’t muted
- make sure sound isn’t pushed way down–so low you can’t hear it
- if you’re using speakers, check the sound on those–make sure it’s loud enough to hear
- if headphones are plugged in, remove them
Another solution to the no-sound problem is to switch where headphones are plugged in. Sometimes, the front port on a CPU degrades and doesn’t work well anymore. Pick your reason–little kids jiggling jacks, overuse, leprechauns. The reason doesn’t matter. What matters is students can’t hear what’s going on.
Switch headphones to a different jack. In my case, since I always use the front jack so students can independently plug them in, I switch to the rear jack. Problem’s over. (more…)

Tech Tip #109: Five Second Back-up
As a working technology teacher, I get hundreds of questions from parents about their home computers, how to do stuff, how to solve problems. Each week, I’ll share one of those with you. They’re always brief and always focused. Enjoy!
Q: I’m paranoid of losing lesson plans, report card comments, and other school work. I back up, but is that enough?
A: Truth, I am the most paranoid person I know about technology. I have an external hard drive for back up, Carbonite in the cloud, a 256-gig flash drive for my ‘important’ stuff (which turns out to be everything), and still I worry.
Here’s what else I do: Every time I work on a document I just can’t afford to lose (again, that’s pretty much everything), I email it to myself. If you’re using MS Office, that’s a snap. Other programs–just drag and drop the file into the email message. I set up a file on my email program called ‘Backups’. I store the email in there and it waits until I’m tearing my hair out. I’ve never had to go there, but it feels good knowing it’s available.

Q: Sometimes, I just can’t remember how to accomplish a task. Often, I know it’s simple. Maybe I’ve done it before–or even learned it before–and it’s lost in my brain. What do I do?
A: One of the best gifts I have for students and colleagues alike is how to solve this sort of problem. Before you call your IT guy, or the tech teacher, or dig through those emails where someone sent you the directions, here’s what you do:
Google it.

Tech Tip #107: 6 Tips to Avoid Email Phishing

Q: I got an email that looks legitimate, but I’m not sure. How do I check?
A: You’re right to take a step back. ‘Phishing’ is an attempt to steal your personal information by posing as a trusted source (a friend, your bank–like that). Kaspersky reports that while spam is declining, accounting for only 66% of email last year, phishing attacks have tripled. Why? Because it works. People think it won’t happen to them, until it does. To clean up after a successful email box invasion can take months, cost thousands of dollars, and give you many sleepless nights.
As a educator, you’ll want to teach students how to protect themselves as soon as they start using open email networks. Here are six suggestions:

Tech Tip #105: Create Shortkeys for Windows Tools

Q: I love the Windows snipping tool, but it takes too long to get to. Is there a shortkey for it?
A: Oddly, there isn’t, which is why I didn’t use it for a long time. I want a screen capture that’s instantaneous. Jing is even too slow for me (though I tolerate it because of all its cool annotations.
Then I discovered how to create a shortkey for Snipping Tool:
- Go to Start–accessories
- Right click on ‘snipping tool’
- Select ‘properties’
- Click in ‘shortcut’
- Push the key combination you want to use to invoke the snipping tool. In my case, I used Ctrl+Alt+S
- Save
Now all I have to do is remember the shortkey!
BTW, this works for any tool.

Tech Tip #104: Need a File on Your iPad? Try This

Q: I have a video on my classroom computer I want to use on my iPad. How do I do that?
A: There are ways to do that–email it to your iPad, open through DropBox–but those have issues:
- emailing requires extra steps and time you may not have
- many email accounts limit you to <10MB. What if a video file is larger?
- DropBox has limited space
- like email, you must put materials in DropBox to access them from there (I know–Duh, but that requires planning. What if your inquiry-driven class popped onto this topic on the fly?)
If you’re like me, anything to make your worker faster, easier, less steps is a good thing.
